Calendar & Space Request for Activities, Classes, Events & Meetings
Before you ask to reserve space, please check the UUSD calendar to make sure the date, time, and space you are requesting is available. Check all the boxes of items you will need for your event. Be sure to include your name, name of UUSD group sponsoring the event, and that group’s uussd email. You are the Meeting Leader responsible for the event.
This form may be used to reserve any of the following:
- Room(s), date, and time for an event or meeting (single day events, multi-day, and recurring ones)
- One of two UUSD Zoom rooms for online meetings (Click here for instructions on using Zoom, if needed.)
- Hybrid meeting video cart for simultaneous Zoom/onsite meetings.
- You must provide your own laptop with Zoom loaded on it.
- Contact the AV Team for training for first-time users.
- Hybrid video cart for DVD playback.
- Also reserve the portable sound system to amplify sound.
- (New – October 2022) Portable sound system, to be used by meeting or event coordinator for groups up to approximately 100.
- This system can be used with the hybrid video cart to show a movie to a small group.
- Contact the AV Team for training for first-time users.
To make a change to the information you previously submitted for an activity or event, do not complete a new form. Please email Sandy Scheet-Robitaille, Office Administrator at Admin@uussd.org and include the Name of the Activity/Event, the original Date and Time, the Group Sponsoring the Event, the Contact Name, and any changes or corrections that need to be made.
Requirements:
- The person requesting the room (Meeting Leader) will be shown on the calendar and is responsible to ensure that all lights are off and doors are locked at the conclusion of the meeting.
- The refrigerator is available to store food used by staff and those at meetings or events.
- Any group of 5 or more using an indoor area should run its respective HVAC air system fan “ON.”
- Restroom fans should be run in tandem with the HVAC systems fans.
- The Meeting Leader is responsible for turning off exhaust fans and resetting the thermostat fan setting.
